DUTIES - ACADEMIC ADMINISTRATOR:
Support Director, School of Game Design
• Direct liaison between faculty, students and Academy administration.
• Organize and maintain departmental expenditures and budget. Assist the Department Director in the budget process.
• Organize timeline of projects and departmental files.
• Assist with procedures for new instructors (paperwork, interview scheduling etc.).
• Organize planning and taking minutes at events (i.e. Career Night, Advisory Board meetings, guest lectures, orientation, faculty meetings, town hall meetings, etc.).
• Collect, track and copy all midterm and final grade rosters. Send originals to RPS for scanning, and give copies to Director for review.
Administration / Curriculum Support
• Process and maintain files on all forms pertaining to faculty (i.e. NASAD, ACICS, payroll, faculty recs, biographies, and resumes).
• Update and process course syllabi and maintain on file.
• Monitor Open Reg. reports with Department Director and make corrections as necessary.
• Submit completed purchase orders and reimbursement requests and track to completion.
• Collect and track all attendance rosters and send to RPS for scanning daily.
Faculty/Academic Support
• Collect and process attendance, grade rosters.
• Payroll (process part-time instructor time sheets every 2 weeks).
• Process and schedule all incoming forms (i.e. audio / visual and field trip requests, class make-ups, guest speakers, subs, etc.).
• Purchase reimbursements and tracking (i.e. copy jobs, travel, supplies, etc.).
Student Support
• Assist Director to keep in constant contact with Student Reps on new issues and feedback.
• Assist in collecting and returning their projects from instructors and the Spring Show.
• Maintain department notice boards with job and internship postings, events, samples of student work, faculty bios, awards, department announcements etc.
REQUIRMENTS:
• Minimum 3 – 4 years prior Administrative experience.
• Exceptional Mac & P.C. computer experience and familiarity with: Photoshop, MS Office,
Open Office, InDesign, Dreamweaver, and Web publishing software.
• Excellent verbal and written communication skills.
• Must be self-starter who can work independently.
• Must be well organized and able to handle multiple tasks simultaneously.
• Ability to work in a fast paced environment and be self-motivated.
• Able to work over-time when required.
• Friendly, outgoing with great customer service skills a must.
• Prior experience working in an educational/game industry and environment a plus.
